How Mekon Notus works

The document owner starts the review process by converting the draft document into a PDF file and uploading it to a Notus server on an intranet, extranet or the Internet. After adding instructions for reviewers, such as document version and deadlines, the owner creates a list of reviewers. Notus can be set up to automatically email reviewers a link to the PDF file with a request to review it.

Each reviewer can access the document via a web browser and uses standard Adobe Acrobat commenting tools to request changes or approve the content. Although online, security of the document is assured through the use of username/password access authenticated against a directory that can be modifi ed at any time.

The great advantage of Notus is that all reviewers work on a single online document and can see all other reviewers’ comments. Not only does this avoid duplication, but contradictory comments can be resolved before being returned to the document owner. This also enables reviewers to focus on the aspects of a document that they are most qualified to comment on. For example, by seeing that basic errors such as misspellings have already been picked up by other reviewers, a senior manager can more quickly review the document to ensure it meets its objectives.

Notus enables the document owner to easily track the progress of the review process. Once all reviewers have made their comments, the document owner can collate the amendments and produce a further draft or a final document for approval.
